Sojourn Bicycling Vacations | Sojourn Active Vacations, Inc.

These Terms & Conditions apply to reservations made with Sojourn Active Vacations, Inc. (“Sojourn,” “we,” “us,” or “our”). By making a reservation and paying a deposit, each traveler acknowledges and agrees to these Terms & Conditions.

Please read them carefully before booking.

1. RESERVATIONS & DEPOSITS

A deposit of $1,000 per person is required to confirm a reservation on a scheduled Sojourn trip unless otherwise stated at the time of booking.
Published trip prices are quoted in U.S. dollars and are per person based on double occupancy unless otherwise specified.
Payments may be made by check, money order, or accepted credit card, including Visa, Mastercard, and American Express.
Certain trips, private departures, custom trips, charters, or international programs may require different deposits, payment schedules, or cancellation terms because of supplier requirements. When applicable, we will disclose those terms at or before booking, and they will supersede the corresponding standard terms below.

2. FINAL PAYMENT

For trips within the United States and Canada, final payment is due 90 days prior to departure.
For all other trips, final payment is due 120 days prior to departure, unless otherwise specified.
Sojourn may automatically charge the credit card on file when the final balance becomes due unless other payment arrangements have been made.
If Sojourn does not receive final payment when due, it reserves the right to cancel the reservation and apply the applicable cancellation terms.

3. SCHEDULED DEPARTURES & MINIMUM PARTICIPATION

Scheduled Sojourn departures require a minimum number of participants to operate.
If the required minimum has not been reached, Sojourn may continue to accept reservations while monitoring enrollment, offer travelers an alternate departure or trip, or cancel the departure.
Guests should not purchase non-refundable airfare, hotels, transportation, or other non-refundable travel arrangements until Sojourn has confirmed that the departure will operate and has processed or requested final payment.
If Sojourn cancels a departure because the required minimum participation has not been reached, Sojourn will refund payments made directly to Sojourn for the canceled trip or, at the traveler’s election and subject to availability, transfer them to another Sojourn trip.
Sojourn is not responsible for independently purchased airfare, accommodations, transportation, or other travel expenses resulting from a trip cancellation or change. Travel insurance is strongly recommended.
Group size varies by destination, itinerary, accommodations, transportation requirements, and other operational considerations.

4. GUEST CANCELLATIONS — U.S. & CANADA TRIPS

Submit all cancellations to Sojourn in writing.

Cancellation charges are based on the date Sojourn receives the written cancellation notice.
For scheduled trips within the United States and Canada:
- 91 days or more before departure: $250 administrative fee
- 90–75 days before departure: 35% of total trip price
- 74–62 days before departure: 65% of total trip price
- 61 days or fewer before departure: 100% of total trip price
Percentage-based cancellation charges are calculated on the total trip price.
We will not provide refunds for arriving late, departing early, voluntarily leaving a trip, or failing to use accommodations, meals, activities, transportation, bicycle rentals, or other included services.
Bringing your own bicycle does not entitle you to a reduction or refund of the trip price.
Certain trips may have different cancellation terms because of supplier contracts or other special arrangements. Any trip-specific cancellation terms disclosed at or before booking will supersede this standard schedule.

5. GUEST CANCELLATIONS — INTERNATIONAL & OTHER TRIPS

For trips outside the United States and Canada:
- 180 days or more before departure: $250 administrative fee
- 179–151 days before departure: 35% of total trip price
- 150–121 days before departure: 65% of total trip price
- 120 days or fewer before departure: 100% of total trip price
Cancellation charges are calculated based on the date Sojourn receives written notice of cancellation.
Certain international trips, bike-and-barge programs, vessel charters, hotel contracts, or other special departures may be subject to different payment and cancellation terms imposed by suppliers. When applicable, we will disclose those terms at or before booking, and they will supersede these standard terms.

6. TRANSFERRING YOUR RESERVATION

Subject to availability, travelers may transfer a reservation to another eligible Sojourn departure within the same calendar year without a cancellation penalty when the transfer is requested:
- At least 95 days before departure for U.S. and Canadian trips; or
- At least 125 days before departure for other trips.
After these deadlines, the applicable cancellation policy will apply.
Transfers are subject to availability and cannot be guaranteed. Any difference in trip price, single supplement, bicycle rental, or other charges will apply to the new reservation.
You may not transfer a reservation more than once to avoid cancellation charges.

7. PRIVATE & CUSTOM TRIPS

Private and custom trips involve substantial advance commitments to hotels, transportation providers, guides, restaurants, vessels, and other suppliers and therefore have different payment and cancellation requirements.
Unless otherwise stated in a private-trip agreement, the payment schedule is:
- 40% of the total group cost due within seven business days of the initial group booking;
- 30% of the total group cost due 180 days before departure; and
- Final 30% due 150 days before departure.
Unless different terms are stated in the private-trip agreement, cancellation of the entire private or custom trip is subject to the following charges:
- 180 days or more before departure: 15% of total group purchase price
- 179–151 days before departure: 35% of total group purchase price
- 150–121 days before departure: 65% of total group purchase price
- 120 days or fewer before departure: 100% of total group purchase price
Individual cancellations within a private group may affect the group’s pricing, rooming arrangements, transportation requirements, and ability to maintain private-trip status.
Private-trip pricing is based on the agreed number of participants. If participation falls below the required minimum, Sojourn reserves the right to revise the per-person price, assess an appropriate private-trip surcharge, modify services, or convert the departure to a scheduled departure.
Trip-specific private or custom trip agreements will supersede these general terms where they differ.

8. TRIP PRICES

All prices are quoted in U.S. dollars unless otherwise stated.
Sojourn makes every reasonable effort to publish accurate pricing and trip information but reserves the right to correct typographical, pricing, or product-description errors.
Once your reservation is confirmed, your published trip price is guaranteed except for optional services, requested upgrades, government-imposed taxes or fees, or other charges specifically disclosed as variable.
Trip prices generally cover land arrangements only and do not include airfare to or from the trip unless specifically stated as included.
Specific inclusions and exclusions are identified on each trip page and/or in the applicable trip materials.

9. ACCOMMODATIONS & SINGLE TRAVELERS

Trip prices are based on double occupancy unless otherwise stated.
A limited number of single-occupancy rooms may be available for an additional single supplement.
Travelers who prefer to share accommodations are responsible for identifying and arranging to travel with a roommate unless Sojourn specifically offers a roommate-matching option.
Sojourn does not offer roommate matching.
If a traveler’s roommate cancels or otherwise becomes unavailable, the remaining traveler may become responsible for the applicable single supplement.

10. ROUTES, ITINERARIES & SUPPLIER SUBSTITUTIONS

Active travel is inherently subject to changing conditions.
Routes, mileage, accommodations, restaurants, activities, transportation, vessels, schedules, and other components of a Sojourn trip may be changed before or during a trip because of weather, road or trail conditions, safety concerns, supplier availability, government actions, operational considerations, or other circumstances.
Hotels, restaurants, routes, activities, transportation providers, vessels, and other suppliers identified in Sojourn’s website, itinerary, or promotional materials represent anticipated arrangements and are subject to change.
When reasonably possible, Sojourn will endeavor to provide a comparable alternative.
Reasonable itinerary changes or supplier substitutions do not constitute cancellation of a trip and do not entitle a traveler to a refund.
Sojourn cycling routes, route files, maps, cue sheets, and related materials are proprietary and may not be commercially reproduced, distributed, published, or shared without Sojourn’s permission.

11. CANCELLATION BY SOJOURN

Sojourn reserves the right to cancel a departure when circumstances reasonably require it, including insufficient enrollment, safety concerns, supplier failures, government restrictions, or circumstances beyond Sojourn’s reasonable control.
If Sojourn cancels a trip because the required minimum number of participants has not been reached, payments made directly to Sojourn for the canceled trip will be refunded or may be transferred to another Sojourn trip at the traveler’s request and subject to availability.
Such refund constitutes settlement of Sojourn’s financial obligation for the canceled trip.
Sojourn is not responsible for independently purchased airfare, hotels, transportation, visas, equipment, or other expenses associated with the canceled trip.
Cancellations resulting from Force Majeure are governed by the Force Majeure provision below.

12. FORCE MAJEURE

“Force Majeure” means an event or circumstance beyond Sojourn’s reasonable control that prevents, materially affects, or makes it unsafe or impractical to operate a trip as originally planned.
Such circumstances may include, without limitation, severe weather, wildfire, flood, earthquake, natural disaster, epidemic or pandemic, public-health emergency, government order or restriction, border closure, war, terrorism, civil unrest, political instability, strikes, labor disruptions, transportation interruptions, fuel shortages, acts of God, or significant failures or cancellations by transportation providers or other independent suppliers.
In the event of Force Majeure, Sojourn may modify, reroute, relocate, postpone, reschedule, suspend, or cancel all or part of a trip when reasonably necessary.
Because Sojourn may have already made non-refundable payments or commitments to third-party suppliers, a Force Majeure event will not automatically be treated as a cancellation by Sojourn for purposes of providing a full cash refund.
Sojourn will make reasonable efforts to recover refundable amounts from suppliers and, depending upon the circumstances, may offer a refund of recoverable amounts, a travel credit, an alternate departure, or another reasonable solution after deducting non-recoverable expenses and costs already incurred.
Sojourn is not responsible for additional or consequential expenses incurred by travelers as a result of a Force Majeure event.

13. TRAVEL INSURANCE

Because Sojourn strictly applies its cancellation policies, travel insurance is strongly recommended.
Travelers should consider coverage for trip cancellation, trip interruption, medical expenses, emergency evacuation, baggage, bicycle or equipment loss, and other risks appropriate to their circumstances.
Sojourn may provide eligible U.S. travelers with information or a quote for travel protection offered by Allianz or another insurance provider. Any insurance policy is a separate contract between the traveler and the insurance provider, and coverage is subject to the insurer’s terms, exclusions, and eligibility requirements.
For trips outside North America, Sojourn may require proof of appropriate medical insurance before departure.

14. AIRFARE & INDEPENDENT TRAVEL ARRANGEMENTS

Unless specifically included in the published trip price, transportation to the trip’s designated starting point and from its ending point is the traveler’s responsibility.
Do not purchase non-refundable airfare or other non-refundable travel arrangements until Sojourn confirms that your departure will operate.
Travelers who choose to purchase airfare or other travel arrangements before receiving such confirmation do so at their own risk.
Sojourn is not responsible for airline tickets, hotel reservations, transportation expenses, mileage awards, visa fees, or other independently purchased arrangements affected by a Sojourn trip cancellation, itinerary change, delay, Force Majeure event, illness, injury, or other circumstance.

15. PASSPORTS, VISAS & ENTRY REQUIREMENTS

Travelers are solely responsible for obtaining and carrying valid passports, visas, permits, vaccination documentation, entry authorizations, and any other documentation required for their destination.
Entry requirements may change without notice.
Sojourn may provide general information as a courtesy but is not responsible for a traveler’s failure to satisfy government entry or documentation requirements.

16. PARTICIPANT RESPONSIBILITIES & ABILITY TO PARTICIPATE

Sojourn trips are active vacations involving physical activity and may include cycling, hiking, kayaking, swimming, walking, transportation in vehicles or vessels, and other activities.
Travelers are responsible for reviewing the trip’s activity level and determining whether the trip is appropriate for their abilities and circumstances.
Travelers who require reasonable accommodations or assistance that may affect their safe participation should contact Sojourn as early as possible before departure so that available options can be discussed.
Sojourn reserves the right, consistent with applicable law, to decline or discontinue a traveler’s participation when the traveler’s conduct or circumstances create a material safety risk to the traveler, other guests, employees, suppliers, or the operation of the trip.
Travelers are responsible for medications, medical equipment, mobility devices, or other personal items required during travel.

17. CHILDREN

Travelers under age 18 must be accompanied by a parent or legal guardian unless Sojourn has expressly agreed otherwise in writing.
We are unable to accommodate Children under age 12.
Please contact Sojourn before booking a trip for a child.

18. PERSONAL PROPERTY & BICYCLES

Travelers are responsible for their personal property.
Guests who bring their own bicycles, equipment, clothing, electronics, or other belongings assume the risk of loss, theft, or damage to those items except to the extent otherwise required by applicable law.
Travelers should ensure that their travel, homeowner’s, renter’s, or other insurance provides appropriate coverage for valuable personal property while traveling.

19. PHOTOGRAPHY & VIDEO

Sojourn may photograph or record portions of its trips for marketing, promotional, editorial, social-media, or other legitimate business purposes.
Travelers who do not want their identifiable image or likeness used should notify Sojourn in writing before departure and remind their tour leaders upon arrival.
Sojourn will make reasonable efforts to honor such requests.

20. ASSUMPTION OF RISK

Active travel involves inherent risks.
These risks may include, among others, cycling accidents, falls, collisions, changing road or trail conditions, motor vehicles, weather, wildlife, equipment failure, transportation incidents, illness, injury, remote locations, limited access to medical facilities, and participation in activities such as cycling, hiking, kayaking, swimming, or walking.
By participating in a Sojourn trip, travelers acknowledge and voluntarily accept the inherent risks associated with active travel.
All travelers must sign Sojourn’s applicable Release of Liability and Assumption of Risk Agreement before participating in a trip.
Sojourn reserves the right to deny participation to any guest who refuses to sign the required trip waiver. In such cases, all payments made will be forfeited, and Sojourn will not issue a refund or credit.

21. INDEPENDENT SUPPLIERS

Sojourn arranges travel services provided by hotels, restaurants, transportation companies, vessel operators, activity providers, local guides, and other independent suppliers.
These suppliers are independent contractors and are not employees of Sojourn.
Their services may be governed by their own terms and conditions and by the laws and regulations of the jurisdictions in which they operate.
To the fullest extent permitted by applicable law, Sojourn is not responsible for the negligent or wrongful acts or omissions of independent suppliers or unrelated third parties over whom Sojourn has no direct control.

22. LIMITATION OF LIABILITY

To the fullest extent permitted by applicable law, Sojourn Active Vacations, Inc., its affiliates, officers, directors, employees, tour leaders, representatives, successors, and assigns will not be liable for losses, injuries, damages, delays, additional expenses, or other claims arising from circumstances outside Sojourn’s reasonable control, including acts or omissions of independent suppliers.
Nothing in these Terms & Conditions is intended to waive or limit rights or liabilities that cannot legally be waived or limited.
The separate Release of Liability and Assumption of Risk Agreement required of travelers contains additional provisions applicable to participation in Sojourn activities.

23. CONDUCT DURING A TRIP

Sojourn reserves the right to remove a traveler from a trip when, in Sojourn’s reasonable judgment, the traveler’s conduct materially interferes with the safety, well-being, or enjoyment of other guests, employees, suppliers, or the operation of the trip.
A traveler removed for such conduct is responsible for expenses associated with leaving the trip and is not entitled to a refund for unused trip services.

24. SPECIAL OFFERS, DISCOUNTS & CREDITS

Special offers and discounts are subject to the specific terms of the applicable promotion.

Unless expressly stated otherwise:

Discounts apply only to direct bookings with Sojourn;
Discounts cannot be combined;
Private-group discounts cannot be combined with other promotional offers; and
Referral credits may be combined with another eligible offer when expressly permitted.

Promotional terms in effect when a reservation is made control that reservation.

25. GOVERNING LAW & VENUE

These Terms & Conditions and disputes arising from a Sojourn trip or reservation will be governed by applicable law.
Subject to applicable law and the terms of any separately executed agreement, travelers agree that disputes involving Sojourn Active Vacations, Inc. will be brought in the state or federal courts located in the State of Vermont.

26. ACCEPTANCE OF TERMS

Payment of a reservation deposit constitutes the traveler’s acknowledgment and acceptance of these Terms & Conditions.
Each participant must also complete and sign any required waiver, release, medical-information acknowledgment, or other participation documents before the trip begins.
If a traveler does not agree to execute a required participation document, Sojourn may decline to permit that traveler to participate, subject to applicable law and the cancellation provisions governing the reservation.

27. CHANGES TO THESE TERMS

Sojourn may update these Terms & Conditions periodically.
The terms applicable to a reservation will generally be those provided or published at the time the reservation is made, except where a later change is required by law or expressly agreed to by Sojourn and the traveler.

28. COPYRIGHT & PROPRIETARY MATERIALS

Unless otherwise indicated, Sojourn’s original website content, photographs, videos, written trip descriptions, route materials, maps, and other proprietary content are owned by or licensed to Sojourn Active Vacations, Inc. and may not be reproduced or commercially distributed without permission.
